To create an Email Template, select Create Email Template under Email Templates on the left menu.
- Enter in the Template Name
- Enter the Subject. This will appear on the Subject line of the email.
Note: You will need to include any call outs to the Program Name in the Subject line. For example, '{$program_name}' - Select the HTML box. Selecting this box will activate the toolbox, which will allow you to type in the email without having to use HTML.
Note: If you'd like to use HTML, you do not need to check the HTML box. - Type the email message in the Body.
Note: If there is already an existing email template created in the system that you'd like to clone, you can find the Email Template under the Browse Email Templates on the left menu. You can copy and paste the Body into the new Email Template. - Enter in any required call outs into the Body. For example, if the email is referencing the student's name, you will need to use the call out {$user_name} in place of the student's name.
Here are the available call outs:
- Date and Time: {$date_time} - This is based on the Date & Time field on the Program Section information page.
- Location Name: {$program_name} - This is based on the Location field on the Program Section information page
- Program Section Name: {$program_section_name} - This is the Program Section name.
- Program Start Date: {$program_start_date} - This is the Program start date
- Program End Date: {$program_end_date} - This is the Program end date
- Student's Name: {$user_name} - This is the student's name in the system
- Add-to-Calendar links: {$calendar_links} - This is based off of the course section or program section start date and time, and end date and time. This will display 3 links to the different types of calendar formats in the email - ICS, Google, and Outlook.
